Privacy Policy
This Privacy Policy explains how FleetDV collects, uses, stores, and shares information when you use fleetdv.com and related FleetDV services. FleetDV is the customer-facing service name and is legally operated by Zenpath LLC (“Zenpath,” “we,” “us,” or “our”).
1. Scope
This policy applies to FleetDV’s website, account features, fleet-management tools, reports, imports, subscription features, and customer support operated by Zenpath LLC. It does not govern third-party services that publish their own privacy policies.
2. Information we process
We process information you provide, information generated through your use of FleetDV, and limited information received from service providers. Depending on how you use the service, this may include:
- Account information: name, email address, and profile details.
- Authentication information: account identifiers, authentication events, and information needed to maintain and secure your session. FleetDV does not receive your plaintext password from its authentication provider.
- Fleet and vehicle information: vehicle names, models, purchase dates, financing details, mileage, maintenance, registration, and insurance-related expense entries.
- Booking information: reservations, trip dates, guest or booking labels, prices, fees, discounts, reimbursements, adjustments, mileage, and booking status.
- Business and financial-tracking information: expenses, recurring costs, loans, payments, goals, revenue figures, and other information you enter to calculate fleet performance.
- Imported information: fleet and booking information contained in CSV or other supported files you choose to upload.
- Usage and technical information: device/browser details, page and feature interactions, diagnostics, network information, and security events reasonably needed to operate, troubleshoot, and protect the service.
- Subscription information: plan, trial and subscription status, billing-period dates, cancellation status, Stripe customer identifiers, and related billing administration records.
3. Why and how we use information
FleetDV uses information to:
- create and maintain accounts and authenticate users;
- store and display the fleet records, bookings, expenses, loans, reports, calculations, and settings you request;
- calculate dashboard metrics, utilization, projections, break-even estimates, and other product features;
- process CSV imports and let users manage imported records;
- administer trials, subscriptions, billing status, cancellations, and account access;
- provide customer support and respond to questions;
- detect misuse, investigate errors, protect accounts, and maintain service security;
- monitor reliability and improve product functionality and user experience; and
- comply with legal obligations and enforce applicable agreements.
4. Transactional communications
We may send transactional or service-related communications needed to operate and protect FleetDV, including account-verification, password-reset, security, billing, subscription, cancellation, and important service notices. These messages are not marketing communications. Because they relate to your account or the service you requested, you may not be able to opt out of all of them while keeping an active account, though you can close your account or contact us with questions.
4. Service providers and disclosures
FleetDV relies on service providers that process limited information as needed to operate the service. These include:
- Supabase, which provides authentication, database, and backend infrastructure.
- Stripe, which provides subscription checkout, billing, payment-method management, invoices, and the customer billing portal.
FleetDV does not store complete payment card numbers itself. Card and payment details entered during checkout or billing management are handled by Stripe under Stripe’s own terms and privacy practices.
We may also disclose information when reasonably necessary to comply with law, protect users or the service, investigate fraud or abuse, complete a business transaction subject to appropriate safeguards, or with your direction or consent. We do not describe data as “never shared” because limited processing by providers is necessary to deliver FleetDV.
5. Data retention
We retain account and fleet information while your account is active and as reasonably necessary to provide the service, resolve disputes, maintain security, enforce agreements, and meet legal or financial-record obligations. Retention periods may differ by data type and operational need. Clearing imported data removes qualifying imported records but does not automatically delete your account, subscription, or manually entered records.
6. Your choices
You can review and update much of your FleetDV data through the application. Available controls may allow you to edit or delete manually created records, clear identified imported data, manage billing through the Stripe Customer Portal, cancel a subscription, or contact us about account and privacy requests.
Deleting business records does not cancel a Stripe subscription, and canceling a subscription does not automatically erase stored fleet data. We may need to verify your identity before completing certain requests and may retain information where required or permitted by law.
Account and personal-data deletion requests
To request deletion of your FleetDV account and associated personal data, email support@myfleetledger.com from the email address associated with your account and state that you are requesting account and personal-data deletion. We may ask you to verify your identity or account ownership before acting on the request. Deletion does not itself cancel an active Stripe subscription; manage or cancel billing through Account & Billing before requesting deletion.
After verification, we will delete or de-identify eligible account and personal data within a reasonable period, subject to applicable law. We may retain limited records when reasonably necessary or legally permitted for security and fraud prevention, billing and transaction records, tax or accounting obligations, dispute resolution, enforcement of agreements, backups that cycle out under normal retention schedules, or compliance with legal process. We will not use retained information for unrelated purposes.
7. Data security
FleetDV uses administrative, technical, and organizational safeguards intended to protect information, including authenticated access and per-user database controls. However, no online service, storage system, or transmission method is completely secure. You are responsible for using a strong, unique password, safeguarding your devices and credentials, and promptly notifying us of suspected unauthorized access.
8. Data location and processing
FleetDV and its providers may process information in locations where they or their infrastructure operate. Applicable privacy protections may differ by location. Service providers process information under their own contractual and legal obligations.
9. Children’s privacy
FleetDV is a business-oriented service and is not directed to children under 13. We do not knowingly seek personal information from children under 13. If you believe a child has provided information to FleetDV, contact us so we can review and take appropriate action.
10. Changes to this policy
We may update this Privacy Policy as FleetDV changes or as required by law. We will post the updated policy on this page and revise the “Last updated” date. Material changes may also be communicated through the service or by another reasonable method.
